Available spaces and resources

The University has a diverse range of spaces and resources across our campus’ available for staff and students to book.

For the past 10 years the university has used Web Room Booking to help manage resource bookings. This system has reached the end of its life and we’re excited to let you know that its replacement, Resource Booker, is now available as a university-wide enhancement. Resource Booker has all the same functionality as the previous system but with new and improved capabilities, many of which will save time.​

Resource Booker is now live, and staff can book resources across the different campuses. More resources will be available over the coming months, please keep an eye out for articles in Flinders in Touch.

How to book

Staff with an active Flinders account (FAN) have access to book spaces directly or by request using Resource Booker.

Resource Booker is a self-service booking system and is available all year except for teaching spaces which are restricted until the University timetable is finalised (around early December each year). It is open to bookings for one year until the next timetable is finalised.

For some rooms and resources an approval step may be in place (e.g. event spaces), you can check if the space is available, complete the booking form and submit for approval. Your request will be reviewed and actioned by the team managing the space and resources.

If you are not on campus, a Flinders VPN (Virtual Private Network) may be required to access some programs.

Using Outlook to book

Meeting rooms will be bookable in Resource Booker as well as Outlook calendar and will appear busy in both locations once they are booked.​

Meeting rooms can still be booked using Outlook by inviting the desired room to the meeting in your Outlook calendar. Add attendees and check availability of attendees and the room with the scheduling tool. ​

​Some meeting rooms may have an approval step while others are self-service.

Each resource has attributes associated which can be used to search for suitable spaces in Resource Booker, the main attributes categories are:

  • Building
  • Audio Visual equipment
  • Web Conferencing
  • Furniture and equipment

For any Outlook Meeting Rooms and resources that are not bookable via Resource Booker, a list of attributes are available here.

Students

Study spaces are available to book via the Library at the Bedford Park campus. Please refer to the Library for further information on how to book as well as booking guidelines.​

​Study/Quiet rooms located in the new city campus (located at Festival Plaza) will be available to book directly in early 2024.​

Clubs, societies and associations wishing to book a managed External Event space or a Function space please contact FUSA with your request via the 'Get in Touch Today' form on the Contact webpage. FUSA will review the request and make a booking on your behalf.
