One of the keys to success for any organisation is the effective management and supervision of staff. 

Managers and supervisors provide leadership, coaching, guidance, support and direction for staff working with and for them.

In this area you will find the resources that you will need if you manage or supervise staff.

Leave

As a supervisor, you are responsible for effectively managing leave arrangements of staff members, including appropriate authorisation of absences, and balancing the operational needs of your area. You should be mindful of your duty of care to your staff by ensuring that they take regular periods of leave. 

You can use Workday to view and approve your teams leave requests and balances.

Topic and course coordinators have access in Workday to the Casual Academic Candidate Pool and are thus able to see Casual Academic Register applicant details.

Access to the Casual Professional Candidate Pool is restricted. Hiring managers wishing to engage a casual professional should contact People & Culture at recruitment@flinders.ed.au so that they can be sent Casual Professional Register applicant details.

Workday

Workday is the web-based solution used to view and manage employee information.

Workday is used by staff for:

  • viewing and printing payslips and payment summaries
  • booking leave (annual, personal, long service and special paid leave etc)
  • viewing leave balances and bookings
  • viewing and changing personal information and bank details
  • viewing organisation charts and reporting relationships
  • entering casual professional staff timesheets, claiming overtime and additional hours (where applicable).

As a supervisor, you can use Workday to:

  • view position information
  • view and manage leave balances and bookings
  • approve leave
  • check probation and increment dates for staff who report to you
  • view real-time organisation charts
  • manage fixed-term and continuing position recruitment tasks
  • initiate and approve a range of People and Culture tasks for you and your team.

Service One

Service One is an online service request tool that is used widely across the University for service management.

The following People & Culture Services are available on Service One:

  • Requests for support with job requisitions (formerly request to fill vacancy process)
  • Request a People & Culture Report
  • Request a pre-June payslip
  • Add a new affiliate to Workday
  • Request change of fraction or work schedule
  • Request higher duties allowance
  • Request topic coordination allowance
  • Request reclassification
  • Engage casual worker.

Access People and Culture services in Service One

Recruitment

For information on the casual engagement process, please refer to Hiring and managing casuals for more details.

Fixed-term and continuing positions are advertised on the external-facing Workday jobs board. Please refer to the Job at Flinders page for details of currently advertised positions.

Hiring managers wishing to recruit a fixed-term of continuing employee must first raise a new Job Requisition via Service One. Once People & Culture have completed the Job Requisition in Workday, the hiring manager will be granted access to the Workday Recruitment Dashboard.

The hiring manager will be responsible for screen candidates, organising and conducting interviews, conducting reference checks and making a recommendation to appoint all in Workday.

Inducting new staff

As a manager or supervisor, you have an important role to play in assisting new staff members gain familiarity with their work environment and acquire a sense of belonging which will build their commitment to the University. 

Refer the Inducting new staff page for manuals, checklists and what you need to do before your staff member begins, on their first day and in their 3 month review.
