Contractors at Flinders

Workplace support Contractors

Please do not attend Flinders if unwell, even with only very mild symptoms consistent with COVID-19 (cough, sore throat, blocked or runny nose, fever, or loss of taste or smell). Contractors may be required to be fully vaccinated when working in some University locations. Please refer to Flinders University's COVID-19 Vaccination Policy. 

Flinders University engages a variety of contractors to work across its campuses. We are committed to meeting the standards required by the Work Health and Safety Act 2012.

These pages include information for businesses and individuals engaged to work with us, and for staff members seeking a contractor.

You can register to work with the University, update your details, complete inductions and apply for work permits through the Now Agent app. Please note that multi-factor authentication will be required when you log into Now Agent – you can find out more and download the relevant app here.

Please be aware that all Flinders University campuses and properties are fresh air zones, however there are designated smoking zones at the Bedford Park campus.

We remind all visitors to the University to please observe the varying speed limits in the area.

Registration and induction

Note that contractors will need their activated FAN (Flinders Authentication Name) before beginning this process.

Please note that you will not be able to complete the induction if your company registration is not complete.

Please contact the Property, Facilities and Development Customer Service Team via email (pfd@flinders.edu.au) with the following information to create a FAN for you and your staff. 

Main company contact (the person responsible for adding company and staff details, and insurance certificates)

  • First name, last name
  • Date of birth
  • Contact phone number
  • A unique email address

Staff who will attend site

  • First name, last name
  • Date of birth
  • Contact phone number
  • A unique email address

You will then receive an email with instructions on how to activate your account and complete an induction. Inductions will be valid for 12 months. You will be notified via email to renew this when it's close to the expiry date.

2. Download Now Agent to your device OR access the online portal

Use the links above to download the Now Agent app to your smart phone or tablet. If you are searching in the app store, you will find this by searching for 'ServiceNow Agent'.  If you're using a PC or laptop, click the link to the portal.

When you first log into the app, you will need to enter the following information:
Instance: flindersuni.service-now.com
Nickname: ServiceOne

3. Complete the online induction to Flinders

All contractors working on site will need to complete this. Once you're registered, an email link to the induction will be sent to you. When completing your induction, please ensure you read and acknowledge the information about vaccination requirements when working in a healthcare setting.

4. Upload evidence of your COVID-19 vaccination or medical exemption

From 28 February, all contractors coming to Flinders University are required to show evidence of at least one dose of an approved COVID-19 vaccine, or of their medical exemption from having this vaccine.

5. Obtain relevant permits

See the Permits and permissions to proceed page for details, notice requirements and application forms.

6. If required, complete a site-specific induction

Your contact at the University will complete this when you arrive to start work at Flinders.

Site check-in and check-out

You will need to check in and out of Flinders sites from the Now Agent mobile app.

1. Download or open Now Agent on your device

You will find the Now Agent app in your app store by searching for 'ServiceNow Agent'. Log in using your activated FAN and password. Your contact at Flinders would have arranged for this to be created and emailed to you to activate.

2. Check in when you arrive

Check in from the app when you arrive at a Flinders site. Please note that when on site, you must adhere to all relevant Government health directions related to COVID-19.

3. Collect keys or cards if required

Visit the Operations office to collect keys or swipe cards. Your contact at Flinders will let you know ahead of time if these are required.

4. Check out when you leave

Check out when you leave for the day.

5. Return keys and cards to Operations

Visit the Operations office to return any keys or swipe cards.
