Microsoft OneDrive is the approved cloud-based document storage platform available to all staff and students, allowing you to:  

  • Store up to 1TB of data and access from all your devices (similar to Dropbox or Google Drive)
  • Share and collaborate securely with other University staff and external users.
  • Recover an earlier version of a document you accidentally modified.

OneDrive for Business has been certified to store any University documents classified as public, internal only and restricted. Any highly confidential documents should not be stored on OneDrive for Business. To find out more about classifications and what can and can't be stored on OneDrive refer to the Data storage page.

What can you use OneDrive for?

Researcher

  • Securely store my research results and draft working papers.
  • Access and edit my documents whilst travelling (via iPad / tablet).
  • Collaborate with a non-Flinders colleague on a paper.
  • Share a set of files with my research team.
  • Reference or attribute the use of OneDrive in my research grant application and related data management plan.

Teaching staff

  • Securely store my teaching notes and slides.
  • Invite a colleague to review my draft topic outline or Statement of Assessment Method (SAM) documents.
  • Share a set of documents with the students in a topic.
  • Edit a document that I've shared with a class to ensure students have the latest version.

Professional staff

  • Securely store my working files and share documents with my manager for review.
  • Setup a space for my team to store and manage a set of documents and templates we use often.
  • Invite an external consultant to view/edit a file (or set of files).
  • Share meeting notes and/or whiteboard images with users after a meeting.

Frequently asked questions

What happens to my OneDrive data when I leave?

Similar to University email, all OneDrive files are retained in legal hold ongoing. This means that even if files are deleted, or a user's association with the University ends, the University can recover such files. 
The recovery of such files is only done if the request conforms to the Email and Electronic Data Access Procedure.

Why should I use OneDrive over Dropbox or GoogleDrive?

Good question. OneDrive for Business is the University’s approved and supported cloud file storage platform. We have reviewed the service extensively under our cloud certification program. This process provides you with assurance that your data is properly protected to a level that matches the protection of our IT systems hosted on campus.

You can also access your OneDrive via FAN login and as such we are able to help you protect your account and notify you if we think someone has accessed your account and take steps to protect you. The level of data protection provided by OneDrive for Business also ensures that you will be able to get back documents you have accidentally deleted or written over.

These same protections are not provided by Dropbox and GoogleDrive alternatives, especially those that are provided for free as these are designed for storing and sharing personal files with family and friends.

How do I synchronise my files between OneDrive cloud and my laptop / desktop computer?

With OneDrive, you can sync files between your computer and the cloud, so you can get to your files from anywhere - your computer, your mobile device, and even through the OneDrive website at OneDrive.com. If you add, change, or delete a file or folder in your OneDrive folder, the file or folder is added, changed, or deleted on the OneDrive website and vice versa. You can work with your synced files directly in File Explorer and access your files even when you’re offline. Whenever you’re online, any changes that you or others make will sync automatically.

When requested enter your Flinders email address in the following format (e.g FAN@flinders.edu.au)

Note

  • Due care should be taken before syncing your files so as to ensure you do not run out of hard disk space.
  • The default storage location for OneDrive files in Windows is "C:\Users\"<FAN>"\OneDrive - Flinders".
    The default storage location for OneDrive files on MAC is: Users/"<FAN>"/OneDrive - Flinders".
    This has been done intentionally so that files are only accessible to the user logged into the computer and offline file storage is created for this content. Changing the default storage location to an external drive / or another location on the computer is NOT recommended.
  • By default, the 'Sync all files and folders in OneDrive-Flinders' is selected. This means that any file that gets added your OneDrive cloud account is automatically synced to your computer. It is recommended you change this default setting by unticking 'Sync all files and folders in OneDrive-Flinders'
Are there restrictions or characters and names that are not supported?
  • The entire path, including the file name, must contain fewer than 256 characters.
  • A single file must not exceed 15Gb in size.
  • The following characters aren't allowed in file or folder names: ~ " # % & * : < > ? / \ { | }.
  • The following names can't be used for file or folder names: .lock, CON, PRN, AUX, NUL, COM1 - COM9, LPT1 -LPT9, _vti_, desktop.ini, any filename starting with ~$.
  • You can’t create a folder name in SharePoint Online that begins with a tilde (~)
Is OneDrive for Business secure?

Your data within OneDrive is stored in a highly secure environment that offers extensive protection in multiple layers: physical data center security, network security, access security, application security, and data security.

Support for digital and IT services

Opening hours: 8am to 5.30pm, Monday to Friday, excluding public holidays

After hours or when all staff are busy you will be given an option to leave a voicemail message. Voicemails will be accessed as soon as practical during business hours otherwise you may choose to log an IT support request.
