Bulk import research outputs (researchers)

Overview

This guide explains how to add research outputs by bulk uploading files in ResearchNow as an alternative to manual entry.

You can bulk upload BibTex or RIS files into ResearchNow from your platform of choice, such as ORCID, Scopus or Web of Science (WOS).

Steps

1. Navigate to your preferred research platform and obtain a list of your research outputs. 
2. Once you have found a list of research output you can download this output in a RIS, BIBTEX or CERIF format.
3. Login to ResearchNow.
4. Navigate to the Personal tab.
5. Select My research output tab and then select + icon next to Research output tab.
6. Select Import from file.
7. Choose which file format you will be using (BIBTEX, RIS or CERIF).
8. You can either copy the text to the Paste text field or upload a file.
9. When the uploaded file or text has been processed, one or more records will appear below the import field. Each record will have the option to Import or Remove. If a similar record already exists, you can choose to View potential duplicate.
        1.    If you want to check for duplicates, click View potential duplicate. A window opens with the original record. If this is the same as the             uploaded record, you can Remove the upload.
10. For each record that you want to import, click Import.
    1. A window opens, tries to find a match, and displays the publication details.
    2. Use the drop-down arrow to make a change if the system auto-match has not quite matched to the correct object (i.e. authors, affiliations, journals, publishers). If the authors are affiliated with Flinders University, take care to match them to people already registered in ResearchNow – this will avoid creating unnecessary duplicates.
    3. When the information is complete, click Import & review. An editor window opens.
       Complete the information in the editor window by filling out the mandatory fields (marked with an asterisk).
       
    4. Select Save.

Notes

The research output is saved with the status For Validation which denotes the progression of the research output to the next stage in the workflow. It is added to the queue for the Library to validate the metadata. Once the Library has validated the record, it appears on your profile on the ResearchNow Portal. 

If the research output is not yet ready for validation select the status Entry in progress at the bottom of the record before saving. Then when it is ready to be validated by the Library, change the status to For Validation and select Save.
