Editing SETs and SET report FAQs?

Learning and teaching Student Evaluation of Teaching (SET) Editing SETs and SET report FAQs?

Your online SETs will be automatically generated. 

These created surveys will include the standard questions evaluating the topic and the standard questions evaluating the topic coordinator as a lecturer. 

It is important that topic coordinators or a representative check survey instruments that are automatically set up. All parameters can be changed if desired.

Changes to a standard SET can include additional questions, adjustment of survey dates and editing teaching staff.

  • Additional questions can be added by the topic coordinator, or a SET support officer. 
  • Additional teaching staff can be evaluated by adding question sets to existing surveys. Additional question sets will need to be added manually prior to the survey open date. As a topic coordinator you have access to make changes to your SET. Alternatively you can contact set@flinders.edu.au.
  • Adjustment of survey dates maybe necessary if the default date does not fit in with your teaching. By default, SETs will open in the second to last week of teaching for the standard semester and run for 6 weeks. Non-standard semester availabilities may not fit into these dates and can be adjusted as necessary.

How will SET surveys be structured? keyboard_arrow_up

Students will normally receive only one SET survey per topic (there may be special circumstances where two or more surveys are appropriate). This survey will present the students with a series of questions about the topic as well as questions about the teaching of one or more individual staff members.

What is Form U: Customisable? keyboard_arrow_up

Form U: Customisable provides the base for online topic SETs. Question set U includes 7 core questions (5 Likert and 2 open-ended). Users can also add up to 5 additional questions from a question bank. At least one Teacher question set (Question sets L, T, E and S) must be added to question set U.

What is Form F: Flexible? keyboard_arrow_up

Form F: Flexible is an optional online survey instrument that allows the user to tailor his or her own requirements for feedback. Users may select questions from the existing question bank and/or construct free-form questions. The flexible survey allows for a maximum of 5 Likert and 3 open-ended questions.

What does Question set L: Lecturer evaluate? keyboard_arrow_up

The lecturer question set evaluates individual lecturers within the topic. There are 4 core questions (2 Likert and 2 open-ended) with the ability to add up to 2 additional questions.

The tutor question set evaluates individual tutors within the topic. There are 4 core questions (2 Likert and 2 open-ended) with the ability to add up to 2 additional questions.

What does Question set E: Demonstrator evaluate keyboard_arrow_up

The demonstrator question set evaluates individual demonstrators within the topic. There are 4 core questions (2 Likert and 2 open-ended) with the ability to add up to 2 additional questions.

What does Question set S: Supervisor evaluate? keyboard_arrow_up

The supervisor question set evaluates individual supervisors within the topic. There are 4 core questions (2 Likert and 2 open-ended) with the ability to add up to 2 additional questions.

Can I conduct a paper-based SET survey? keyboard_arrow_up

A paper-based SET survey may only be conducted in exceptional circumstances, subject to the approval of the Deputy Vice-Chancellor (Academic), on the advice of the relevant Executive Dean.

Question set G: Generic is used to carry out a paper survey and it cannot be customised. Question set G includes 5 questions about the topic, 2 questions about the teaching staff as a collective and 2 open-ended questions.

How do I set up a customised online SET? keyboard_arrow_up

To set up a customised online SET follow the steps below. Alternatively you can refer to the user guide.

  1. Enter the SET Portal at https://set.flinders.edu.au
  2. Select the surveys module.
  3. Using the drop-down boxes, select the topic and availability that you want to evaluate.
  4. Click on the green cross next to the topic code and name (not the green cross in the legend) to create a new survey.
    Select Form: U Customisable. This will take you to the survey setup page.
  5. Ensure that the default survey description is appropriate. If you need to change the survey description, you can do so by clicking on the second radio button and filling in the text box below the default survey description.
  6. Select start and end dates for the survey.
  7. Ensure that all staff who should be able to view the results of topic related items are listed in the viewer list under Survey alternatives + viewer management. If additional staff need to be added to the viewer list, this can be facilitated by clicking on the + Add new viewer button.
  8. If applicable, add additional questions by clicking on the green change this button in the survey questions area.
  9. Click Add teacher question set button at the bottom of the page, then select the appropriate teaching context to add teaching related questions. This will take you to a new page.
  10. Click the + Add new viewer button to add the appropriate staff to the viewer list.
  11. Select the person to be evaluated by either selecting a staff member on the viewing list as the primary viewer, OR entering the person's name in the Lecturer's/Tutor's/Demonstrator's/Supervisor's name text box.
  12. If you intend for students to make one and only one choice from a list of different survey alternatives for the given teaching context, click + Add new alternative, and repeat steps 10 and 11, for each additional person to be evaluated. If only one person is being evaluated in this context you do not need to add survery alternatives.
  13. If applicable, add additional questions by clicking on the change this button in the survey questions area.
  14. If you wish to evaluate additional teaching staff in another teaching context, click Add teacher question set and repeat steps 10 to 12, otherwise, click the finalise survey button at the bottom of the page.

How do I set up a flexible online SET? keyboard_arrow_up

To set up a flexible online SET follow the steps below. Alternatively you can refer to the user guide:

  1. Enter the SET Portal at https://set.flinders.edu.au
  2. Select the surveys module.
  3. Using the drop-down boxes, select the topic and availability that you want to evaluate.
  4. Click on the green cross next to the topic code and name (not the green cross in the legend) to Create a new survey.
    Select Form: F Flexible. This will take you to the survey setup page.
  5. Ensure that the default survey description is appropriate. If you need to change the survey description, you can do so by clicking on the second radio button and filling in the text box below the default survey description.
  6. Select start and end dates for the survey.
  7. Ensure that all staff who should be able to view the results of this survey are listed in the viewer list under Survey alternatives + viewer management. If additional staff need to be added to the viewer list, this can be facilitated by clicking on the + Add new viewer button.
  8. Add questions by clicking on the green change this button in the survey questions area.
  9. Type the question text in the Create a new question box and click save OR select a question from the question bank by searching by category and/or keyword (the question bank contains all core and additional SET questions).
  10. Click the finalise survey button at the bottom of the page.

How do I set up a generic paper SET? keyboard_arrow_up

Please note: A paper-based SET survey may only be conducted in exceptional circumstances, subject to the approval of the Deputy Vice-Chancellor (Academic), on the advice of the relevant Executive Dean.

If there are special circumstances that may require a generic paper SET to be administered, requests can be made to set@flinders.edu.au.

How do I add additional question sets to automatically generated surveys? keyboard_arrow_up

To add additional question sets to automatically generated SETs follow the steps below. Alternatively you can refer to the user guide.  

  1. Enter the SET Portal at https://set.flinders.edu.au
  2. Select the surveys module.
  3. Using the drop-down boxes, select the topic and availability for the SET that you want to edit. This will cause the screen to be refreshed and show the SET that has been automatically generated.
  4. Two green crosses will appear near the survey. Click on the green cross next to (not above) the red circle with a white cross inside to add a question set to the SET. For help with this step view the user guide - Add a teacher question set.
  5. Select the appropriate teaching context from the drop-down box that appears on the screen. This will take you to a new page.
  6. Click the + Add new viewer button to add the appropriate staff to the viewer list.
  7. Select the person to be evaluated by either selecting a staff member on the viewing list as the primary viewer OR entering the person's name in the Lecturer's/Tutor's/Demonstrator's/Supervisor's name text box.
  8. If you intend for students to make one and only one choice from a list of different survey alternatives for the given teaching context, click + Add new alternative, and repeat steps 6 and 7, for each additional person to be evaluated. If only one person is being evaluated in this context you do not need to add survey alternatives. View the multiple alternatives guide.
  9. If applicable, add additional questions by clicking on the change this button in the survey questions area.
  10. Click the finalise survey button at the bottom of the screen.

How do I edit a survey? keyboard_arrow_up

To edit a survey that has already been set up follow the steps below.  Alternatively you can refer to the user guide.

  1. Enter the SET Portal at https://set.flinders.edu.au
  2. Select the surveys module.
  3. Using the drop-down boxes, select the topic and availability for the SET that you want to edit. This will cause the screen to be refreshed and show the SET that has already been set up for the topic.
  4. Select the question set that you wish to edit, by clicking on the survey description for the relevant question set. 
    NOTE: To edit survey open and close dates you will need to select question set U.
  5. Click on the Edit survey parameters or question set button. This will appear as Edit this question set for teacher question sets.
  6. Click on the calendar icon next to start date/end date to select new survey open and close dates (Question set U only).
  7. Click Add new viewer to add additional viewers.
  8. Click on the delete icon next to a viewer's name to remove that viewer from the viewer list.
  9. Click on change this to add additional questions.
  10. Click done when you have finished editing the survey. This will save the changes that you have made.


NOTE: Once the survey is open to students only the viewing lists can be edited.

How do I delete a survey? keyboard_arrow_up

To delete a survey that has already been set up follow the steps below. Alternatively you can refer to the user guide.

  1. Enter the SET Portal at https://set.flinders.edu.au
  2. Select the surveys module.
  3. Using the drop-down boxes, select the topic and availability for the SET that you want to delete. This will cause the screen to be refreshed and show the SET that has already been set up for the topic.
  4. To delete the entire survey click on the delete icon next to question set U OR to delete Question set L, T, E or S only, click on the delete icon next to the appropriate question set. 

    Note: At least one of Question set L, T, E or S must remain in order for the survey to be valid.

Why can't I generate any surveys? keyboard_arrow_up

The ability to create surveys is controlled by access privileges. Only the topic coordinator and staff who are given College support officer privileges can generate teacher and topic evaluations for their topic(s). If you teach in a specific topic but are not the topic coordinator, please see the topic coordinator or you College's SET support officer to arrange an evaluation your teaching.

Why can't I edit/delete my surveys? keyboard_arrow_up

Surveys can only be edited/deleted prior to the survey open date. If there are special circumstances that require a survey to be edited or deleted after the survey open date, requests can be made to set@flinders.edu.au.

Why can't I finalise my Questions set U survey? keyboard_arrow_up

You must add at least one teacher question set (Question sets L, T, E and S) in order to complete your SET.

What about Student Learning Centre subjects? keyboard_arrow_up

SETs for foundation course topics can be facillitated through the SET System by following the instructions above. SETs for the Introductory Academic Program (IAP) where students are not enrolled in topics via the Student System will need to have SETs conducted via alternative means. To organsie paper SETs for IAP topics please contact set@flinders.edu.au. 

What about offshore topics? keyboard_arrow_up

SETs for offshore topics can be facillitated through the SET system by following the instructions above.

Accessing reports

When is my report ready? keyboard_arrow_up

Topic coordinators receive an email during the week after most SETs have closed informing them results are able to be viewed. All College SET administrators are supplied with a copy of Planning & Analytical Services annual SET plan detailing main tasks and timelines at the beginning of each year.

How do I view my report? keyboard_arrow_up

Your report can be viewed after the survey has closed by following the instructions below. Alternatively you can refer to the user guide.

  1. Go to https://set.flinders.edu.au
  2. Select the reports module.
  3. Select the appropriate question set from the drop-down box (i.e. U for Topic evaluation, L for a Lecturer evaluation).
  4. Go to 'refine search' below the report cart and select the 'year + half' and 'availability' from the drop-down boxes.
  5. Click on the title of the report that you wish to view. A window will pop up and allow you to view the report.
  6. In the window that pops up click view comments as PDF to view student comments.

Who has access to the reports? keyboard_arrow_up

The SET system structure enables topic coordinators, Vice President & Executive Deans and above to have automatic access to reports. That being said, anyone can be manually added to a topic and/or teacher SET report viewing list by the topic coordinator, Planning & Analytical Services or a College SET Administrator.

If access to many reports is required, Planning & Analytical Services can provide a customised report (usually a pivot table) upon request. In addition, SET topic results are available in Flinders Intelligence Portal (FLIP) and can be interrogated by users with author access.

Why can't I view my reports? keyboard_arrow_up

PLEASE NOTE some users are having issues viewing reports using the Google Chrome browser. If your report page does not load, you will need to use an alternative browser such as Firefox until this issue is resolved.

There are a number of reasons that you may not be able to view your reports. First of all, you will not be able to view your report for a given survey until the survey has closed. You can check that the survey has closed by following the instructions below. 
Alternatively you can refer to the user guide.

  1. Go to https://set.flinders.edu.au
  2. Select the reports module.
  3. Select the appropriate question set from the drop-down box (i.e. U for Topic evaluation, L for a Lecturer evaluation).
  4. Go to 'refine search' below the report cart and select the 'year + half' and 'availability' from the drop-down boxes.
  5. Check to see what is displayed next to the report that you wish to view. If there is a date next to the report title, the survey is still open and the report will be available after the date displayed. If "pending paper" is displayed next to the report, your paper survey forms are currently being processed.
     

If you cannot see the title of your report or select the appropriate availability in the reports module you may not be on the viewer list for the survey. To check that you are on the viewer list follow the instructions below. Alternatively you can refer to the user guide.

  1. Go to https://set.flinders.edu.au
  2. Select the surveys module.
  3. Using the drop-down boxes, select the topic and availability that you want to check on.
  4. Select the question set that you wish to view by clicking on the survey description for the relevant question set.
  5. Scroll down to the viewer list and check that the appropriate viewers are listed.

Is the appropriate Question Set selected? keyboard_arrow_up

Your evaluation may have used the F: Flexible or T: Tutor form. By default a topic evaluation will use the U: Topic form and the teacher evaluation will be the L: Lecturer form. However in some circumstances, these other forms can be used for multiple teachers or individualised questions. If you are unable to see a report listed, try changing the question set and often this may bring up the report you are searching for.
