What is a Academic Staff Affiliation?

An academic affiliation is the relationship between an academic and one of the following:

  • Teaching program
  • Teaching section
  • Research section
  • Research theme

Purpose and Principles of college sub structure:

Substructure

Purpose / Principles

Teaching program

  • Comprise courses that are grouped into themes with a recommended maximum of 4 teaching programs per college.
  • Forums to discuss educational improvements in terms of pedagogy and course/topic development and sustainability.
  • Bring innovation to our education offerings.
  • People affiliated with Teaching Programs are staff who teach Topics that belong to that Teaching Program.
  • A person can be affiliated with more than one Teaching Program concurrently. The main teaching program should indicate a higher allocation percentage.
  • The main Teaching Program is the one that aligns with their academic discipline, and they spend the majority of their time teaching in.

Research section

  • Configured primarily around common research interests, which might be discipline related or might revolve around shared access to research equipment, facilities, etc.
  • Comprise a number of academic staff representing some degree of research synergy across a number of research groups.
  • House each college’s recognised research groups, which provide critical mass and discipline depth to our research expertise.
  • Devoted to developing research capability and capacity.
  • A person can be affiliated with more than one Research Section concurrently. The main research section should indicate a higher allocation percentage.
  • The main Research Section is the one that aligns with their academic discipline, and they spend the majority of research time working in.

Research theme

  • Strategically important to the growth of the college and that are designed to achieve our ambitious vision for research as defined in the 2025 Agenda: Making a Difference.
  • Run across research sections in order to bring together complementary research expertise to tackle complex challenges faced by the wider society.
  • Expected to cross college boundaries for the same reasons and these will often be agreed at a University level.
  • Research Themes have key performance indicators. They are expected to change over time to take advantage of emerging opportunities and new strategic directions.
  • A person can be affiliated with more than one Research Theme concurrently. The main research theme should indicate a higher allocation percentage.
  • The main Research Theme is the one that aligns with their academic discipline, and they spend the majority of research time working in.

Teaching section

  • Teaching sections can be created by colleges for their own internal reporting purposes.
  • Teaching sections can be used to group people into common areas of academic discipline.
When should Academic Affiliations be updated? keyboard_arrow_up

All academic affiliations must be recorded in Workday, which is the source system for all types of affiliations.

A staff member’s academic affiliation should be updated when:

  • they commence in a role,
  • when they leave a role,
  • when there are changes to their teaching and/or research areas
  • when there are change to the allocation of time across the specific teaching and/or research areas for that staff.

Changes to Academic Affiliations are the responsibility of the staff member’s supervisor and should be communicated to the Dean’s People and Resource and College Operations.

How should Academic Affiliations be updated? keyboard_arrow_up

Supervisors of affiliated staff advise their Dean People and Resources of any changes to academic staff’s affiliations, who will authorise changes in Workday.

Where can I review Academic Affiliations? keyboard_arrow_up

Flinders Intelligence Portal (FLIP) provides reports on Academic Staff and Professional Service Affiliations.

The data is sourced from and maintained in Workday.

Governance of reporting substructures keyboard_arrow_up

The process to create, change and implement reporting substructures taking into account timelines ensures that major source systems adopt the changes in line with major corporate business processes such as, budget and timetable and align with regulatory reporting requirements.

Approved changes to teaching programs, research sections and research themes should be advised by 1 May each year in order to be implemented in major University corporate systems for the following academic year.

Refer to the Teaching Program Change Process for more information. Changes for research sections and research themes follow the same process and timelines.
