Fleet bookings

Workplace support Services & topics Fleet bookings

Flinders is committed to delivering sustainable transport services. Use of a fleet vehicle for business purposes is available to all staff, once approved by their manager or supervisor.

Students may use fleet vehicles; however their supervisor must endorse the request by submitting a Service One on behalf of the student.

Visiting academics may use fleet vehicles; however prior approval is required from the Director of College Services (or relevant Director) to book a vehicle on their behalf.

Types of fleet vehicles, fuel and cleaning keyboard_arrow_up

Fleet vehicles available for use include a range of hybrid, combustion and fully electric engine vehicles (EVs).

Hybrid and combustion engine vehicles each have a fuel card which can be used to purchase 91 unleaded or diesel fuel. These can also be used for Happy Washes at Shell service stations and On The Run (OTR) outlets only. If you are travelling in remote areas, the card will be accepted at any petrol station which accepts Motorpass cards. 

EVs also have a card which can be used to purchase Happy Washes at BP service stations and OTR outlets.  If you are travelling over 250km, the vehicle may require offsite charging; please speak to our Customer Service team on 8201 2733 if you would like to know more.   

Available fleet vehicles include:

  • Small vehicles (hatchbacks and mid-size SUVs)
  • Large vehicles (large sedans and SUVs)
  • 2 x 12-seater vans
  • 1 x 8-seater van
  • 1 x 5-seater cargo van
  • 1 x 4WD dual cab hard covered ute
  • EVs.

The College of Science and Engineering also has a range of 4WDs and trailers, available upon request (contact cse.store@flinders.edu.au).  The relevant line manager may require a risk management plan prior to a fleet vehicle being used for field trips and off road. 

Conditions of use  keyboard_arrow_up
  • Drivers must hold a valid driver's license, and a copy must be provided upon request.  Students and visitors including visiting academics must meet all the requirements for motor vehicle use as specified in the Driver and Vehicle Safety procedures.
  • International or non-South Australian licences are accepted, however if the licence holder is residing in South Australia for more than 90 days, they must obtain a South Australian licence. 
  • Drivers on a probationary licence must display ‘P’ plates. 
  • Learner drivers are not permitted to drive a University vehicle. 
  • The vehicles may not be used for any personal purposes without written permission from the relevant Director of College Services / Portfolio head.
  • All drivers must complete the online driver induction course.
  • The vehicle must be returned to the pick-up location, clean and with a full tank of fuel. 
  • Prohibited practices include smoking, vaping, consuming alcohol or drugs, and unsafe driving.
  • Misuse or unsafe practices may result in cost recovery, disciplinary action, or revocation of driving privileges.
  • Drivers must report any damage or issue with a vehicle via Service One upon returning the vehicle.  
  • Approval is required from the Property, Facilities and Development team for any long term (over 6 days) or weekend hire.
  • Vehicles are for use on bitumen and graded roads only.
  • If towing, refer to trailer guidelines.
  • Vehicles must not be used for transporting hazardous materials, or personal purposes.
  • Overnight parking must ensure vehicle safety.

Bookings can be made via Service One, if you intend to travel over 250km, please make note in your booking and we will ensure we provide a vehicle to match your needs.

Vehicle bookings are subject to availability and every endeavour will be made to ensure the vehicles are matched to your needs. 

You will be provided with a unique PIN code on booking a fleet vehicle.

Infringements keyboard_arrow_up

The University does not accept liability for traffic or parking offences. Fines must be paid by the driver responsible at the time of infringement. Unpaid fines may result in disciplinary action.

The vehicle management organisation will forward infringement notices to pfd@flinders.edu.au. The Fleet and Logistics Coordinator will ensure these are addressed appropriately.

Keys and vehicle collection and drop-off locations keyboard_arrow_up

Depending on which vehicle you will be using, it will be located in either Bedford Park car park 6 or 9, Sturt car park 14, or the Tonsley campus. 

Free campus bus services are available if you require assistance getting to car park 6, 9, Sturt or Tonsley.

Bedford Park/Sturt

Use the unique PIN code you were provided upon booking the vehicle to obtain keys as follows:

  • For vehicles located in car park 6 - via a self-service lockbox located on the ground floor of the Registry building
  • For vehicles in car park 9 - inside the front door of the Operations building (adjacent to car park 9) 
  • For vehicles in car park 14 - outside Sturt North Theatre 355. 

Tonsley

A fleet vehicle is also located at our Tonsley campus, outside the building’s rear entrance (loading dock). The key is available via a self-service lockbox located near the rear entrance.
