NHS computer purchasing information

Colleges and services College of Nursing and Health Sciences NHS computer purchasing information

Refer to the advice below for purchasing computers within the College of Nursing and Health Sciences.

Research & teaching labs 

The College of Nursing and Health Sciences is committed to ensuring their staff have the required resources to support them in performing their role and delivering high quality outcomes.  

Staff should have the flexibility to work both on and off campus using suitable technology, and as such the College supports the provision of mobile devices where practical and required.

The following guidelines have been created to assist in resourcing the required device either for a new staff member or to replace an existing aged/faulty device to ensure an equitable and consistent approach. Please note that there may be cause for repurposing existing devices that are still in warranty, and so not all requests will result in a new device being issued.

If you are experiencing issues with your current device, please contact the IDS service desk to log a request for assistance in the first instance.

 

Computer resourcing guidelines

  • Flinders University has preferred supplier agreements with Dell and Apple for desktop and laptop computers.
  • Dell is the standard laptop provided to all staff.
  • Apple devices need to be requested and approved by the Dean (People and Resources) and Director College Services and are treated as an exception.
  • All computers and tablets should be purchased through IDS.
  • As a standard, staff are issued one device for their day to day work, either a laptop or desktop.
  • As we support mobility, the College prefers Academic staff operate with a laptop, docking station and 2 monitors as their primary setup. 
  • To mitigate IT security risks and ensure devices can be adequately supported and perform optimally, the recommended replacement cycle for computers at the University is 4 years.
  • When purchasing a new computer, please allow 3-4-week lead time from the date of purchase order raised.

Funding 

  • When purchasing a device using other funding sources, please note it is the responsibility of the account owner to ensure there is adequate funds in the account prior to ordering.
  • If consultancy funds are being utilised for the purchase of a device, please note as per point 1.3 of the University’s Consulting Fund Policies and Procedures the Equipment will be recorded on the University’s Assets Register and remains the property of the University and will be accounted for in accordance with the Property, Plant and Equipment Assets Policy and Procedures.
  • If you are using Research funds or Project funding to purchase computer equipment, please ensure this is approved and allowable within the contract.

Asset retirement

  • All computers no longer required are retired. Such computers must be returned to IDS for disposal and will be collected when a device is replaced. This will ensure all data and software is erased and hardware is disposed of through an accredited E-waste service. 
  • In exceptional circumstances staff may apply to purchase the device instead of it being disposed of; however, please note that the device will be wiped of all University software and data to meet security and licensing agreements.

Staff leaving the University      

  • When a staff member leaves the University, all University issued IT devices (including those purchased with consulting funds) must be returned to IDS.
  • As per the above, in exceptional circumstances staff may apply to purchase the device instead of it being disposed of; however, please be aware that the device will be wiped of all University software and data to meet security and licensing agreements.

Staff

Academic / research staff - continuing and fixed term keyboard_arrow_up

Continuing academic staff and fixed term academics are entitled to a University business standard laptop with docking station and dual monitors. Specifications of this laptop are as per the details on the hardware purchasing page. This could be either to replace a device in line with the 4-year replacement cycle, or replace a device that is no longer fit for purpose or needs major repairs.

If you believe you require a device other than the standard laptop to support your work, there may be a requirement to use other funding sources. Please obtain a quote as per the below instructions, and discuss your requirements further with your supervisor and then seek approval from the Director of College Services and/or the Dean (People and Resources) with your justification.

Obtain quotes

Visit the hardware purchasing page and use the excel quote forms in the preferred desktop and laptop section. If none of the preferred computer options are suitable please submit a request via the online portal for a formal quote.

Placing the order

Send your quote via email with expenditure approval from the Director of College Services and/or Dean (People and Resources) along with account codes to be used for the purchase to computer.purchasing@flinders.edu.au.

Casual academic staff keyboard_arrow_up

Causal Academic staff are eligible to access a computer in the hot desk space located at N001 (7 desktops). These computers are funded by the college and will be replaced every 4 years where possible or when no longer suited for purpose.

Casual research staff keyboard_arrow_up

Casual Research Staff should speak to their supervisor for access to a computer, which is generally provided through a research grant (where applicable). Alternatively, there is a possibility of being able to access the hot desk computers located at N001 (7 desktops) shared with casual academic staff.

Central portfolio staff keyboard_arrow_up

Portfolio staff from business units in the professional portfolios, College Services and technical staff who now reside under Corporate Services, can apply for a new or replacement of an existing device through the CEF fund. Refer to hardware purchasing page for more information.

Please use this form to place an order for staff computer from the Central Equipment Fund.  

College professional staff keyboard_arrow_up

Academic status / emeritus staff keyboard_arrow_up

The College recognises the value and contribution that academic and emeritus status staff provide to the University. While on campus, these staff should have access to a shared computer.

Should academic status holders request to retain a university owned device (even if purchased through consultancy funds) this will need approval as support for such devices off site is problematic. Please contact the College Director of College Services or Dean of People and Resources if you have any concerns around support or access to a computing device. Alternatively, you could opt to purchase your current University device, however please be aware that the device will be wiped of all University software and data to meet security and licensing agreements.

Visiting academics keyboard_arrow_up

Visiting academics are eligible to access a temporary computer for short-term loans from the college loan pool. Please contact cnhs.operations@flinders.edu.au to arrange. Please note a University staff member (the Supervisor supporting the visiting academic) should request and approve the loan of a temporary computer (should college loan pool stocks support this).

Students

HDR (PhD) keyboard_arrow_up

Full time PhD students are eligible to a dedicated workspace and a computer located within N315, N316, FMC Level 5 and Tonsley. The funding of new or replacement computers for HDR (PhD) students is the responsibility of the principal supervisor using the allocated Research Student Maintenance (RSM) funds. College RSM allocations are as follows:

HDR students are eligible to apply for up to $2000 per year of FTE candidature to a maximum of $6000 during the normal enrolment period (up to 3 years for PhD or part-time equivalent; 2 years for Master of Science).

Commencing higher degree by research, students may elect to use the RSM funds for a new laptop computer for use during their candidature. This must be done in accordance with College procedures and Flinders University IDS Policy and guidelines.

A quote must be obtained and submitted with the RSM budget account codes and application forms to the HDR coordinator. All the information is available on the CNHS HDR FLO site.

Please note this funding is subject to annual reviews.

In the event allocated RSM funding is insufficient to cover the cost of the required computer, then the device may be funded from other sources of funding, should the supervisor responsible provide sufficient fund allocation. Please ensure there are sufficient funds in an account prior to submitting any requests/orders. 

If you do not have sufficient funding from other sources for these devices, please contact the College Dean (People and Resources) seeking support and justifying the need for such and why there is inadequate funding from other sources to cover the cost.

Visit the hardware purchasing page and use the excel quote forms in the preferred desktop and laptop section to cost additional requirements to that of the default configurations, i.e., additional RAM or hard drive storage. If none of the preferred computer options are suitable, submit a request via the online portal for a more formalised quote.

Send your quote via email with account codes and any expenditure approvals (only required if using funds not authorised by the supervisor) to computer.purchasing@flinders.edu.au.

Masters by research/honour students keyboard_arrow_up

Masters by research students and honours students are eligible to access a computer in the hot desk space located at N001 (7 desktops) and N306 (on a needs basis). These computers are funded by the college and will be replaced every 4 years where possible or sooner if no longer fit for purpose.

Masters by coursework, honours / visiting students keyboard_arrow_up

Masters by coursework, honours / visiting students are expected to bring their own device.

Research and teaching labs/rooms

Computers for research and teaching labs are funded by the research grants where applicable. The College will arrange replacement of these on a 4-year cycle where possible.

Support for digital and IT services

Opening hours: 8am to 6pm, Monday to Friday, excluding public holidays

After hours or when all staff are busy you will be given an option to leave a voicemail message. Voicemails will be accessed as soon as practical during business hours otherwise you may choose to log an IT support request.
