Are there are topics for NS1 and S1 that have not been migrated to Canvas in 2023. Will these also migrate in Release 3 ahead of NS1 and S1 2024? | No, release 3 will only include the NS2 and S2 topics being taught in Canvas during the latter half of 2023. All other sites (anything not included in releases 1, 2 and 3) will be migrated in release 4, which will happen as soon as we have release 3 sorted. We’re looking to make sites from release 4 available to staff in September this year so there will be lots of lead time to have things ready before teaching next year. |
Are we allowed to have short courses anymore? | Short courses will likely be migrated in release 4 We’ve been looking at two pieces of software called Catalogue and Credentials. Catalogue to run short courses and Credentials to do digital badges. We’ve had some demonstrations and procurement talks have begun. Once we have licences for these tools, we will be able to integrate them into our instance of Canvas and then there will be some setup of our environment before we can begin to get short courses set up and operational. |
Can hyperlinks be added to rubrics? | Links cannot be added within the criteria, but can be added within the overall description of the rubric. Hyperlinks can be added to assignments, not rubrics. |
Can I get an overview and demonstration of how Canvas works? | There are roadshow sessions of Canvas starting soon, and we will work with relevant staff in avance of topic migration to ensure all staff are familiar with the platform and ways of working. |
Can we import our previous quizzes from Moodle into Canvas? | Yes. Quizzes will be migrated from Moodle to Canvas |
Can you add Articulate content to Canvas? | Assuming you export your Articulate package as SCORM, then you can upload the SCORM package to Canvas |

Does the Canvas calendar integrate with Outlook? | The inbox in Canvas is separate to Outlook, think of it like a built-in messaging system within Canvas |
For S2 2023 – Does migration by the hired company mean we need to teach those topics in S2, or can we do the migration, teach S2 in Moodle, and use S2 to focus on Canvas uplift? | It will be easier to leave any topics you don’t want to teach in Canvas in semester 2 2023 out of release 3. If they’re included they’ll be picked up in the messaging (some of it automated) to staff regarding training attendance and content being ready to publish. You can either add these sites to release 4 and work on having Canvas sites to develop into in September or if you have specific areas who want to do significant redesign we can create development sites now and manually migrate them (as long as there’s not lots of them) so staff can get started earlier. The main thing to consider with moving them now is the content will be current content so will not include any updates done for teaching in Moodle over S2 this year – those updates will need to be repeated by the teaching staff. If you have new topics that don’t have existing content, we can easily facilitate a development site in Canvas now. |

I use FLO books in all my topics. Will the FLO books transfer to Canvas? | Moodle books will migrate into pages in Canvas |
If topic coordinators wish to teach S2 topics in FLO, will they still be able to access the same migration support in Release 4 ahead of 2024? So it is like Release 3 only later and allowing them to teach in Moodle in S2? | Yes, release 4 will capture everything that’s not been included in releases 1, 2 and 3 and will be migrated via K16 Workshops will be scheduled for topics migrating in release 4 so these staff have the same support. In reality we’ll need to be running workshops during 2024 to accommodate staff setting up topics for all study periods to capture those who are teaching in Canvas for the first time. We would prefer staff engage in workshops at the back end of this year to begin getting used to Canvas, but envisage we’ll need to run refreshers come NS2/S2 2024. We will also be looking at 2 years’ worth of data from Moodle to determine what’s included in release 4 to make sure we pick up any topics that are only taught every 2 years. |

In NHS, many courses have a whole-program cohort site in FLO. For example, all students in B.Nursing would have a common B.Nursing FLO site to access throughout their degree. When will these be migrated to Canvas? Will they be included in Release 3? | These are currently scheduled for release 4. In Moodle we create cohorts of students from each course and add all of those cohorts into a single site. In Canvas we don’t have a way to create those cohorts yet. A group has been formed to begin unpacking how we can solve this problem. We will be meeting twice per week going forward but the solution is likely to develop some middleware, which is unlikely to be written, tested and security checked in time for release 3. We will still have access to the sites in Moodle and can link students back to those for the latter half of this year and we will have a solution in place for these sites to be in Canvas from the start of 2024 at the latest. If we’re able to deliver them earlier, we will. |
In terms of subscribing to the Canvas calendar, does this mean you have "read only" view of the Canvas calendar in Outlook, or do the calendars mirror changes made in either program? | The feed is one-way from Canvas to Outlook |
In the assessment tool, is there an option for providing spoken feedback? | Yes |
In the case of S2 2024 topics (and not necessarily S2 2023 topics) – can they be migrated by the hired company now – but the uplift work take place in S1 2024? | Yes, everything that has come over in releases 1, 2 and 3 will be bought over in release 4. We’re looking at 2 years’ worth of data in Moodle so we don’t miss any topics that are taught every 2 years. Sites for these topics will be made available to staff around September and they can then work on them up until they need to teach with them. We will also do a migration refresh, so any topics that were migrated for releases 1 and 2 but then withdrawn and not used for teaching, will have the content refreshed to ensure we have the most up-to-date content bought over from Moodle. |

Is there an issue with Mahara and Canvas compatibility which could be problematic? | Mahara will not be available in Canvas for release 3 but it will be available before the end of the year. Mahara is currently bundled with the Moodle LMS so needs to be untangled and a new hosting arrangement needs to be procured – this takes some time. Once the host has been sorted, the Mahara LTI can be added into Canvas. |
On Commons: if we share to it, is it available beyond Flinders? | There are options to share within Flinders OR more broadly, so if you choose to share you can just share within Flinders if that is your preference. |
Student access to right LMS? | In 2023 it is possible that some students will access topics that are in Canvas and others that are in Moodle. Work is being carried out to make this process as simple as possible for our studentsand direct students to the correct LMS for their chosen topic(s) - either Moodle or Canvas. |
The CC wants to begin developing a new topic for S2 2023. Can they have access to a development site in Canvas to begin this work well ahead of S2? They would rather start in Canvas from scratch early than to begin in Moodle then switch. | Semester 2 topics included in release 3 will be migrated early April, any required tidy up done by the project team and access to academic staff will be early May. We're aiming to provide staff with the full 11 weeks access to update their topics, which is the same amount of time staff have had in Moodle. If there are brand new topics with no migration, we can create development sites now in Canvas and provide staff with access. We just need to know the topic details and staff details, preferably from the Dean (Ed) or a Task & Finish rep (most of the Deans Ed are on Task & Finish). We need Dean (Ed) sign off for topics to come over so TCs are cooperating with whatever plans the Deans have made. |
The to do lists - do these need to be populated by the TC? | Items with a date are populated to the to-do-lists and there is the ability on the bottom of Canvas pages to add a page to the to-do-list. |
We have an assessment that requires students to upload a video. Is this achieved via Studio function and is it easier than Kaltura for them? | Yes you can setup a video assessment and students also have access to Studio |

What is the precise cut-off date in December 2023 beyond which there will be no access to Moodle sites? | Friday 8 December This leaves the project team with 2 weeks to get all archives and back-ups created and checked to make sure we have everything off Moodle before we lose access. The licences will expire on 31 December but our last access to work on the system will be when the University shuts for Christmas close down – we’re working on 22 December for that. To ensure we don’t lose any content, discussion threads, grades etc entered last minute, we will operate on 8 December being the last day staff can make any changes to data. Anything changed after that, we will not be able to guarantee the changes have been captured. |
What support will be available? | There will be a lot of support available to you along the way. At each stage we will be working with eligible topics that have opted-in to get you Canvas ready with workshops focused on your topic as well as training on tools available to you in Canvas. What will the training for staff look like? | With each stage of the project we will be running tailored training sessions for topics transitioning to Canvas. Training workshops will focus on your topic in Canvas and we will also run tool based training so you're familiar with the features of Canvas to help enable your teaching. |
When will I be transitioning to using Canvas? | We will be progressively moving teaching from Moodle to Canvas through 2023, with all teaching to be done in Canvas from 2024 |
Why can't I transfer all my teaching for a multi year course into Canvas in 2023? | Our approach is very deliberate to ensure quality of technology and teaching. Not all technology required will be available to be stood up from the beginning of 2023 so we are managing this project in 'releases'. As we progress through the releases we will be able to work with our teaching community to ensure quality remains a priority. |

Will academics have access to Moodle beyond the end of 2023? (note – access, not deliver). If so until when? | No, the license we have for Moodle expires on 31 December 2023 so no one will have access after this point. This is why we need to have all data backed-up and archived by the time the University closes for Christmas (we’re working on 22 December) as that will be our last chance for access. We will have some form of archive available so staff can access information (read only) to respond to things like grade challenges etc. We’ve begun discussions around this but exactly what we will have hasn’t been 100% decided yet. |
Will Attendance reporting be available? | Yes, MS Teams has this functionality |
Will Camtasia be available? | Camtasia is not part of Canvas, but it's still available. |
Will existing FLO content be migrated to Canvas? | We are engaging a specialist migration services company and existing content will be migrated into the new Canvas topic |
Will H5P be available in Canvas? | Yes, and we will be migrating existing content over to Canvas |
Will it be possible to create content that is available for the general public? | If it is related to a topic, no it can't be public. If it is for a non teaching topic, you will be able too make it public. |
Will Kaltura videos migrate automatically? | We are engaging a specialist migration services company and existing content such as Kaltura videos (and captions) will migrate to Canvas |
Will MS Teams be integrated into Canvas? | MS Teams will be integrated into Canvas, and will replace Collaborate |
Will 'scheduler" be available as part of the calendar? | yes scheduler is built into the calendar. |
Will the terminology of courses be used for the Flinders version also? | The terminology of courses in Canvas is not configurable. Therefore yes, our Canvas will use "Courses" terminology. |
Will the videos we have in My Media transfer to the Studio? | Yes Kaltura videos will be migrated to Studio as part of the transition |
Will there be a replacement for Touchpoint in Canvas (i.e. that can be used by everyone) | The only replacement we have for Touchpoint surveys in Canvas is the survey functionality within the quiz tool. We have mooted the idea of using Qualtrics instead but that presents lots of problems around rollover and changes in TC as Qualtrics surveys stay with the individual who created them. These issues mean its not a suitable solution for embedding within topics. |
