Email

Workplace support Digital services Email

All staff, including those with academic status, members of University affiliated organisations and research postgraduate students receive an email account. Accounts are generated automatically when staff members activate their FAN. 

Your Flinders email address is FAN@flinders.edu.au. For example, if your FAN is abcd1234 your Flinders email account will be abcd1234@flinders.edu.au

Staff (and some postgraduate students) also have an email alias of preferredfirstname.lastname@flinders.edu.au (e.g. fred.bloggs@flinders.edu.au).

  • Password: your Flinders password
  • Server: outlook.office365.com
  • Domain: leave blank
  • Username: your email address. (eg. FAN@flinders.edu.au)

How to set up email on a mobile device

Set up email on Android

  1. Settings > Accounts. Select Add account.
  2. Select Exchange ActiveSync. This option may be named Exchange account or Corporate on some versions of Android.
  3. Type your email address, your password then select Next. Your phone will now configure your device. If it can't find your details you many need to add the default account settings manually and then select Next.
  4. Click OK to allow Remote security administration.
  5. Choose the type of information you want to synchronise between your account and your device, and then select Next
  6. Type the name you want to identify the account by. Select Done to complete the email setup.

Set up email on iPhone/iPad

  1. Tap Settings > Mail, Contacts, Calendars > Add Account.
  2. Tap Microsoft Exchange.
  3. Type your email address, your FAN password and an account description and then select Next.
  4. Your iPhone/iPad will now configure your device. If it can't find your details you many need to add the default account setting (refer above) then select Next.
  5. Choose the type of information you want to synchronise between your account and your device, and then select Save. By default, Mail, Contacts, Calendar and Reminder information are synchronised.

Set up email on Windows phone

  1. On Start, swipe left to the App list, select Settings, and then select Email accounts.
  2. Select Add an account > Outlook.
  3. Enter your e-mail address and FAN password then select Sign in. The phone will try to set up your e-mail account automatically. If it can't find your details select Advanced and add the default account setting (refer to settings above) and then select Sign in.
  4. Select OK if Exchange ActiveSync asks you to enforce policies or set a password.
  5. Choose whether you want to synchronize your Email, Calendar, Contacts, and Tasks by selecting the appropriate options and then select Next.
Email retention

Your FAN will become inactive at close of business on your last day of employment at the University as defined in the University’s HR system.

University email is a business record and has to be retained indefinitely to meet State records’ retention requirements.

It is therefore the responsibility of each staff member to ensure that any personal email contacts are advised of an alternate email account as email sent to the University will not be forwarded to an outside address.

Notification: Your supervisor will receive email notifications 40 and 20 days prior to your account de-activating.

Email quotas

Every staff account in the remote hosted Exchange server has a hard quota of 50GB, but we strongly recommend you keep your mailbox much smaller than that. Exchange recognizes the size of your entire mail store, whether one or many email folders, and including deleted items and sent items.

Whenever you log on to Outlook at a new computer (eg at a different location, a new laptop, or an upgraded computer) Exchange will set out to re-synchronise the email database which will involve downloading the contents of your mailbox to the new system. For very large mailboxes this may take from tens of minutes to hours.

There are limits on the sizes of emails and attachments that can be processed by the Exchange mail service. The message size total is 30MB including the email and any attachments. The individual attachment file size limit is 26MB. The file size is considered "pre-compression" because the AntiVirus extracts all zipped files to scan them.

Opening hours: 8am to 5.30pm, Monday to Friday, excluding public holidays

After hours or when all staff are busy you will be given an option to leave a voicemail message. Voicemails will be accessed as soon as practical during business hours otherwise you may choose to log an IT support request.
