Casual Academic Scheduling & Payment (CASP)

Flinders University identified a need to review the management of business processes and technology used to schedule and pay casual academics.

The review found current business processes were inconsistent, highly manual and utilised a system (Appian or FlindersPro) due for decommissioning in October 2022. The review also found a need to introduce timesheets to increase transparency for casual academics.

Market analysis found introducing timesheets would bring Flinders University in line with other universities where timesheets support the casual academic payment process.

As a result, Flinders University dedicated a project team to gather business requirements and develop a new and improved system and fit-for-purpose processes. The new system is known as Casual Academic Scheduling & Payments (CASP) and will be introduced in stages.

Problem Statement

The current process for engagement, scheduling and payment of casual academic teaching staff

  • utilises a legacy system (Appian) due to be replaced in 2022, and is
  • inconsistent,
  • largely decentralised, and 
  • highly manual

which impacts Flinders' ability to effectively plan and manage casual academic resources and expenditure. 

Project

A project has been established to work with key stakeholders to create a redesign of the end-to-end casual academic business processes so that they are:

  • efficient
  • reduce business risks
  • cost effective, and
  • include a data driven resource planning and tracking process

Steering Committee Purpose

A Steering Committee was formed in January 2022, to support the project team. This Committee is chaired by Mark Schultz, Director of People and Culture. The Committee includes senior representatives from many areas across the University.

Monitoring & Measurement

  • Monitoring the performance and progress of the overall project.
  • Realising project benefits and potential opportunities for synergies with other University initiatives.
  • Managing resource allocation
  • Managing and accepting key business and project risks

Advisory & Escalation

  • Providing strategic guidance and direction and overseeing that project delivery remains aligned with the project goals
  • Making recommendations regarding key decisions on project scope, solutions, and direction to the Executive Sponsor (Vice President, Corporate Services).
  • Reviewing, analysing, and recommending key changes to project related processes across the University
  • Representing key areas of the University that have a stake in the project and confirming the expected outcomes and benefits
  • Championing the change and representing stakeholder groups in decision making
  • Championing the transition of revised processes and roles and responsibilities to business as usual
  • Providing strategic input and direction into the project change management plan

The Working Group reports to the Steering Committee and is responsible for delivering the approved Program of Work for the project. It comprises of representatives from Colleges and Portfolios.

The new system known as Casual Academic Scheduling and Payments (CASP) will replace FlindersPro and cover the schedule to payment process for casual academics.

CASP will go live in stages, with the first stage going live in September 2022.

In the first stage, the following steps in the new system will go live:

a.     Education Resource Officers will create work schedules for casual academics in CASP.

b.     Casual academics will receive their work schedule via email (to accept or decline) in CASP.

c.     Casual academics will be paid as per current processes (based on their work schedule) via CASP.

d.     Education Resource Officers will enter any schedule variations (where required) in CASP.

What's changing

To support this transition, communications will be sent in the lead up to go live including support information and learning materials such as step-by-step user guides. All learning materials will be available on this webpage closer to go live.

More functionality will be introduced in CASP towards the end of 2022 and beginning of 2023 including timesheets for casual academics.

Casual Academic Scheduling & Payments (CASP) went live on 23 September 2022. The new system will be introduced in stages with go live on 23 September 2022 being the first stage.

Existing staff 

Automatic access has been granted for involved staff in stage 1, this includes:

  • Education Resources Officers
  • Casual Academics

Casual Academic Scheduling & Payments (CASP) can be found through your Flinders University Okta Dashboard.

Staff with a secondary position as a Casual Academic will need to raise a Service One request for access to be granted.

New staff 

Casual Academics new to the university will automatically have CASP add to their Flinders University Okta Dashboard upon completion of all tasks, including supervisor tasks, in Workday.

For requests for access or any queries, please raise a Service One request to CASP support and the support team will respond to you.

FlindersPro is no longer in use for the management of Casual Academic Scheduling and Payments. 

A new and improved system, Casual Academic Scheduling & Payments (CASP), has been developed to manage scheduling and payment of Casual Academics moving forward. 

This system will be introduced in stages, with the first stage going live on 23 September 2022. Click on What’s changing for a snapshot of the roles and functions involved in stage 1.

For Casual Academics, please use CASP to accept and view your offers and schedules. All schedules from FlindersPro have been migrated into CASP.

How does pay work in CASP keyboard_arrow_up

Casual academics will continue to be paid as per current processes (based on your work schedule) and variations will be made where required. The key change is Casual Academic pay will now be processed from CASP opposed to FlindersPro. 

For any variation queries, please contact your Topic Coordinators (for CHASS, CMPH, CNHS, CSE) or Teaching Program Director (for EPSW/BGL). Only College Education Resources Officers are able to enter in variations to CASP.

Notes:

  • If you are unable to accept your offer to work in full as a Casual Academic, please reach out to your Topic Coordinator in the first instance to discuss the reasoning.
  • If a schedule change is required, your Topic Coordinator will liaise with their Education Resources Officer to make the changes and send a new offer out.

As per our Enterprise Agreement the descriptors for Casual Academic staff show what is paid for each activity can be found in Schedule 5 “Rates and Descriptors for Casual Academic Staff”.
