Webex by Cisco is an online meeting space that allows you to meet with other people, without having to leave your home or office. You can meet anywhere, anytime, from any device.

Main features of Webex 

  • HD quality audio and video.
  • Ability to conference up to 3000 participants (anyone with an email address can be a participant) in one meeting.
  • Personal Rooms – your own virtual conference space, that’s always available and has its own personal link and video address. Perfect for adding to your email signature.
  • Download the Mobile App to meet anywhere from a smartphone or tablet.
  • Record your meetings for later viewing / playback.
  • Share your screen and content.
  • Integration with Outlook Calendar for easier scheduling of meetings
  • Integration with Microsoft Teams, Jira, and Slack.
  • Ability to use the University’s existing telephony and video conferencing systems to participate in a Webex.

Frequently asked questions

Can I dial out participants?

No. Participants can only dial into the meeting using the provided telephone dial in number or using their PC audio (VoIP).

Are there any call costs incurred?

When using the “use my computer for audio” feature there is no call cost. If participants decide to dial into the telephone number 70790392 they will be charged normal call costs.

Will Webex work on my Mobile device?

There are apps for both IOS and Android operating systems.

The minimum supported versions are:

  • Apple iPhone or iPad: Apple iOS 6.0 and later
  • Android devices: Android 2.1 and later
Does Webex work for the Flinders University sites in the Northern Territory?

Yes Webex is available to all Flinders staff in the Northern Territory.

Can I use Webex off campus?

Yes, WebEx is publicly available.

What is the meeting number and where do I find it?

The meeting number is a nine-digit unique identifier that allows you to enter the correct meeting when joining a Webex session. The meeting number also allows you to join a meeting for which you do not have a link. The meeting number can be found in your Webex email invitation or calendar entry.

What is a host and what do they do?

A host is the organizer who schedules and starts the Webex meeting. Only the host can start the meeting, participants cannot.

What is presenter and what do they do?

The presenter is the person who shares content with everyone in the meeting. The host can pass the presenter role to another person in the meeting at any time.

I don’t have a webcam, can I still participate in the meeting?

Yes, you can participate in a Webex meeting with audio only. You can use either a headset or your telephone to participate in a Webex meeting.

Can I use Webex to connect to a video conference at Flinders?

Yes. If a Webex meeting is scheduled through https://flinders.webex.com video conference equipped teaching spaces and meeting rooms can connect to the Webex using the SIP address in the invitation.

My audio is echoing, what can I do to fix it?

For best audio results, a headset is recommended. If audio is needed for more than one person, an echo cancelling speakerphone is recommended.

Can I share my screen using Webex?

Yes, screen sharing is available in Webex. The host can share their screen by default or pass presentation privileges onto another user.

Can I display to more than one monitor during a presentation?

No. You can only share one monitor at a time.

Can I use the camera on my Cisco Unified IP Phone 9971 to present video in a meeting?

No, only audio connectivity to the Webex Server is supported.

Does a meeting automatically end if it exceeds the scheduled duration?

Regardless of the scheduled duration, a meeting can continue up to 24 hours (1440 minutes) as long as there is a host and a participant in the meeting. If a meeting includes only the host (or designated alternate host), it will end after 30 minutes or when the host leaves the meeting.

Why does a user appear twice in the meeting Participant list?

It is possible that the user joined the meeting from two different devices, for example, their iPhone and a desktop computer. It does not affect the meeting; you may want to ask the participant to end any additional sessions so that their name displays only once in the meeting.

How many simultaneous meetings can I start as the host?

You can start two simultaneous meetings as the host.

Can you secure a meeting?

You can make your meeting secure when making a booking by setting a password on the meeting. This password can be sent to the invited participants who will be able to join the meeting by using the password.

Support for digital and IT services

Opening hours: 8am to 5.30pm, Monday to Friday, excluding public holidays

After hours or when all staff are busy you will be given an option to leave a voicemail message. Voicemails will be accessed as soon as practical during business hours otherwise you may choose to log an IT support request.
